We, the Berlin residents’ services offices (Bürgerämter), want to improve – and we need your help for that. After all, you know better than anyone what kind of services you need. We would therefore appreciate it if you could take 10 minutes to participate in our survey.

Taking part in this survey is voluntary. You can also stop at any point while filling out the survey. All information will be anonymized and evaluated in line with the data protection regulations.

IV. Other processes relating to data processing
IV.1. Cookies and web analytics

The technical operator, LimeSurvey GmbH, provides the website and collects browser data (known as log files or weblogs), which also includes the shortened IP address. These weblogs are stored for 30 days to ensure the security and stability of the website.
In addition, cookies are also used. When the website is accessed, two session cookies are set, which are necessary for the survey to work. One stores the session information required to store the data and track the responses given so that the accessing browser can still be identified after a page change. The other cookie is a CSRF token. This is used to protect users against cross-site request forgery (CSRF). This is technology that attempts to a hijack a session by forging a request to the website via the web protocol with the website visitor’s details. Both session cookies have an expiry time of eight hours.

IV.2. Feedback form
IV.2.1. Description and scope of data processing
This website gives you the opportunity to participate online in the Berlin residents’ services offices’ customer survey.

The following personal data is collected when the website is accessed:
  • IP address
  • Referrer URL (Website through which the survey was accessed)
  • Date and time (date stamp) and duration (time measurement) of the response
  • Time measurement for editing a survey page
  • Language version
  • Response progress
Other personal data may also be provided voluntarily as part of the response. This includes:
  • Age
  • Gender
  • Highest level of education
  • Employment status
  • Postcode of residence
Furthermore, there is the option to enter
  • any personal data in free text fields.

The aim of the survey is to improve the services provided by the Berlin residents’ services offices. For this reason, various information is requested and evaluated in aggregated (summarised) form (e.g., reports, tables, graphics). The individual data sets remain protected in the Office for Statistics Berlin-Brandenburg. The Office for Statistics Berlin-Brandenburg archives the individual data sets.

IV.2.2. Legal basis for data processing
The legal basis for data collection when accessing the website is Article 6 Paragraph 1 Sentence 1 Letter e, Paragraph 2 GDPR in conjunction with § 3 Alternative 1 Berlin Data Protection Act (BlnDSG). As soon as you voluntarily provide any personal data yourself, you consent to the collection of your data in accordance with Article 6 Paragraph 1 Sentence 1 Letter a GDPR.
IV.2.3. Purpose of data processing
The collection personal data when accessing the website serves to prevent misuse of the service and for internal quality assurance.
Personal data voluntarily provided outside the free text fields is collected to enable and carry out an informative evaluation of the survey.
The data is archived to allow comparisons with future evaluations.
IV.2.4. Disclosure to third parties
The data collected will not be passed on to third parties.
The personal data collected when accessing the website will be used exclusively for the operation of the website and the quality assurance of the survey.
Only evaluations that do not allow any conclusions to be drawn about individuals are created. To this end, minimum case number rules are taken into account in the evaluation, meaning evaluations are only carried out from a minimum number of participants and the results are aggregated (summarised) in such a way that no individuals can be identified.
IV.2.5. Storage duration
All data collected from survey participants will be permanently deleted from the LimeSurvey server as soon as it is no longer required for achieving the purpose for which it was collected, but at the latest 6 months after the end of the survey.
Data by survey participants exported from the LimeSurvey server and processed locally is archived at the Office for Statistics Berlin-Brandenburg.
Personal data collected when accessing the website will be deleted in accordance with the statutory deletion periods, but at the latest after 6 months.
Personal data that is voluntarily provided will be deleted after the statutory deletion periods, but at the latest after 3 years, unless there are statutory retention periods preventing this.
Instead of deletion, selected information from the personal data is anonymised, meaning they are changed in such a way that it is not or no longer possible to draw conclusions about individuals to make comparisons with future evaluations possible.
IV.2.6. Objection or removal option

It is also possible to object to the processing of any personal data voluntarily provided and to delete existing data sets after submission. Please note that the possibility to exercise the aforementioned rights can only be implemented if the data set concerning you can be identified. Since in the course of the survey all information directly identifying the participants (such as the name) is omitted, it is usually no longer possible to associate your answers to you personally. A subsequent correction or deletion of your data set is, therefore, almost impossible. In this case, there is no obligation to delete the entire data set. Reports and evaluations that have already been created will not be modified.

V. Rights of the data subject

From the controller, you have the right:

  1. to access information about the processing of your personal data (this also includes information about the purpose, recipients and duration of storage) in accordance with Article 15 GDPR,
  2. to rectification of inaccurate personal data (Article 16 GDPR),
  3. to erasure in accordance with Article 17 GDPR,
  4. to restriction of processing and data portability (Article 18 and 20 GDPR), and
  5. to object to the processing of your data at any time (Article 21 GDPR). If you file and objection, your personal data will no longer be processed. An exception is made if there are compelling, legitimate reasons that outweigh your interests.

Once given, consent can be revoked at any time with effect for the future. The legality of data processing based on the consent until revocation is not affected by this. Notice of revocation must be sent to the data protection officer at the contact address given in Section II.

To safeguard all the rights mentioned in this Section, any data subject may contact the data protection officer (see Section II).

Moreover, if you believe that data protection regulations are not being observed in the processing of your data, you can lodge a complaint with the competent supervisory authority (Article 77 GDPR). Data subjects can direct their complaint to the authority for their place of residence, but generally also to any other data protection supervisory authority.
